There is not much set-up for you to do, and you handle all of it on the PREPARE-page.

There are two ways to add the respondants to your event, both reached from the “Access”-box

  1. Self registation by each respondant, who scans a QR code or using an event specific code
  2. You add the users in beforehand, and they will receive an Email when you event start

During your event, additional respondants can register themselves according to #1

There are three dates and times for you to set, and you do this in the “Execution”-box

  • Time to start
  • Time to send reminders
  • Time to end

It will only be possible to give Kudos (or self-register to the event) between the start and end time

At your start-time, the hawen-platform will send invite-mails to all the participants you have prepared

You decide how many Kudos each partipant who has engaged in the event will receive in the “Execution”-box

  • If there has been too few Kudos given someone, hawen will help you with suggestions
  • If someone has received more Kudos than you have decided, the most positive Kudos will be selected

You will also define how many Kudos each person has to give to be called “engaged”. This is a crucial decision, because perople who has not engaged will NOT receive any Kudos. (We don’t want to engurage a non-behaviour, do we?)

You may choose the language we will use when we send Emails to welcome the participants

Do this in the “Execution”-box, where also may change the name of your event

If enabled for your event, you can set hawen to translate the user screens for each individual, and if every one shall receive Kudos in their own native language

If you have AI supported texts enabled (depends on you service level), there is not much for you to do

  • Add the haeder of the certificate
  • Write a message to the whole team, or simply type “AI” to ge a generated team description based on the Kudos given by the team
  • Give the name of who shall be the official sender of the certificate
  • That persons title
  • Change the font color if you prefer
  • Add some pictures (at least a logo is often nice)

You do this in the “Layout of the Kudos certificates”-box, where you also find a button to preview how it will look

Hawen has the ability to do all the work for you, but the default is set for you to check each step of the processing after the event i closed for the users.

Depending on the group you work with, you might feel the checks are not needed, and you can then skip the manual verifications according to your preference.

This is done in the “Execution”-box, under “Manual verifications”.

It is up to you if the Kudos cerificate shall be sent in an Email to each particpiant, of if all teh results shall be sent to you. Perhaps you want to print them?

This is a simple setting in the “Distribution of appreciation certificates”-box.

If you want to give specifc instructions to the team, you can choos to write your own entry screen with your own instructions. If so change the setting in the “Entry screen layout”-box and write as much instructions as you like.

Early on the page, you have a link to “Update characteristics”. This information is used by you and others to gain even more Insights from the excersice. The higher quality of this information, the better comparisons can we make.

During the event, when people give Kudos to each other, you can monitor the progress.

Reminders will be send at the time you have defined.

There is actually not much for you to do, but if some people are totally inactive there might be a good idea for some additional reminders in addition to the ones sent by hawen.

Before the event closes, you might want to review the parameters you did set for min and max Kudos on a certificate, or the expectations level you have on the participants.

Now it’s time to wrap things up. Unless you have enabled automations, these are the steps where you can be very thorough or spend no more than a few seconds.

Note that you will get an Email every time it’s time to take action.

When you get here, we have already made some checks of the Kudos. We’ve checket the spelling and evaluated if the Kudos in opposite of the intention is in fact offensive.

  • Where spelling errors have been detected, a suggestion is given. You can either check the box to use the suggestion, or manually write in the correct languange.
  • If the Kudos is ruled to be offensive, you will see it as “Flagged”. This means it will not be processed further, unless you tick the box “Discard”, meaning that you don’t agree and want the Kudos to end up on the certificate of the receiver.
  • You can also manually manually flag a Kudos as offensive, to prevent it if form processing.

Kudos that might need attention is at the top of the list, followed by the ones without any remarks.

Once you’re happy, save the changes, and then choose to “Verify” the Kudos at the top of the page.

If an engaged participant has not recieved enough Kudos to fill you certificate, hawen will generate additional Kudos based on the language used by the team and other appreciation given to the receiver. Accept the suggestions, or re-write them as you see fit.

There is also an opportunity to add extra Kudos, or to delete Kudos you don’t want to appear on the certificates.

Then you can change the order of the Kudos for each participants, simply by draggning and changing the order. Kudos that are green will end up on the certificate, inf they are not highlighted when will not be printed.

Once you are happy, confirm the order. Do this receiver by receiver, or for all recceivers with one click.

This is the final step. When you confirm with one click on this page, all certificates will be generated and send within a few minutes.
